Booster Club Meeting Minutes

Treasurer’s Report: 

Balance of $765.84 is in the General Fund.  $200 was rolled over from the 2007-2008 season.  $241.39 from a credit from coaches’ rooms and recent bingo funds. 

Balance of $800 in the nonprofit fund waiting to complete our nonprofit tax ID number.  $6,646.41 in individual accounts, at the time I did this.  

We have a Visa check card on this account which has recently been compromised in the sum of $582.10 in fraudulent bank charges.  That will be reimbursed in ten days, by the 13th.  The bank will keep us apprised of the on-going investigation and charges will be filed once and if the guilty party is apprehended. 

There was $452.22 in final payments that did not clear in April – NSF charges.  None of those people have come back to Aerials.  We will pursue this.  Total bank balance:  $7,177.93. 

 

 

 

Close out the banquet:  Banquet totals are not current: 

Hall:  $100;  Food:  $581;  Decorations:  $134;  Drinks/Ice:  $89;  Coaches Awards:  $145

Total:  $1,049 - $952.76 (budgeted amount) = Over Budget $96.24.

*Note:  Pam Petersen has not yet been reimbursed $75 (approximate) from the banquet.  She will resubmit a copy of the receipt.  That money will come out of the General Fund.

 

New Business: 

Introduction of parents. 

Sally Jenkins could not be there tonight and Seleste Burianni could not be here tonight.  Both Seleste and Sally will be stepping down tonight from their positions of President and Vice President, respectively.  If we are unable to vote in a replacement VP for Sally she will continue to act as Vice President. 

Information Center

The location for the Cheerleading Information Center is in the back of the gym, by the bathrooms.  There is a lockbox on the wall.  That box is used for entry fee payments.  Fliers from the coaches will be put into the cheerleader’s individual file folders, located on the table at the information center.  Please, ALWAYS check your file folders as you do not want to miss any important announcements.   Statements and fliers from the booster club will generally be communicated via email this year instead of in the files.  Everyone must have an email on file.  If you do not have one on file yet, please get that information to Paula, our Secretary ASAP.

Season Calendar

We are hoping for our season calendar next week.  As soon as we have our season calendar we will be able to determine the fees for the individual competitions, etc.  Once that is done a payment plan will be given to you with your first competition payment being due by July 15th.   Every month your payments will be due by the 15th.  There will be no payment in December and the final payment will be January 15th.  This year we will have only one payment plan, the average payment plan.  There will be different payment amounts for each team due to their individual competition schedules.

 

 

 

2008-2009 Board member Elections

We determined that we would open up each position this year to allow those new parents (who were present at the meeting) an opportunity to be a part of the new Board.

Telecommunications – no one volunteered to run against Pam for this position.  Pam will be in charge of our telecommunications this season.  Pam will get individuals from each team to help her with the phone calling, when needed.

Treasurer - no one volunteered to run against Andrea for this position.  Andrea will be Treasurer for this season. 

Secretary - no one volunteered to run against Paula for this position.  Paula will be Secretary for this season. 

Vice President -  In charge of fundraising and will take over President’s duties in the absence of the President.  

Kathy Hildenbrand and Sara Archer would like to co-chair in this position, with Sara being the actual Vice President.  Sally will transfer all information from last year to the new Vice President.  Andrea made a motion to nominate Sara Archer for Vice President.  Michele Militano seconded the motion.  All were in favor.  Sara Archer will be our new Vice President. 

President -  Responsible for state and federal documents; following federal rules and guidelines; collect agenda items for the meetings and run the meetings.  Our President needs to be a direct link between the parents and the coaches.

Jackie Dummer would like to step up.  Andrea made a motion to nominate Jackie Dummer for President.  Kathy Hildenbrand seconded the motion.  All were in favor.  Jackie Dummer will be our new President.

Bingo: 

We received an email this morning from the gymnastics booster club.  They have helped us for long enough with regard to our using their tax ID number until our papers are completely filed.  As of July 1 they are not going to allow us to work bingo under their tax ID number.  Our paperwork is not complete.  We are still waiting to speak with Seleste to find out exactly where we are in the process.  Until we get our 501(4)(c)  we will not be complete.  We will meet with them to see if we can extend it but we need to know from Seleste where we stand with the filings.  They are putting their non-profit number in jeopardy.  Once everything is done we will be able to start bingo again. 

 

New Meeting Time

We will be meeting on the 2nd Thursday of each month from now on.  Our next meeting will be Thursday, July 10th at 6pm, in the lobby.

*The new Board will be meeting on Monday, June 9th at 5:30 to discuss the plans for the new season.
