Parents' Club 4/21/06 Meeting Minutes

 

Meeting was held from 6:30 - 8:00. 

 

Attendees:  Annie Baker, Patti Bales, Kathy Bull, Carl Carlson, Patty Dawson, Leslie Donnelly, Rene & Brian Fitch, Cathy Kerner, Sue Laren, Eugene McCall, Tina McKenzie, Wendy  & Leroy Purvis, Kathy Riskin, Karen Sewell,  Maurice Staley, Karen Wells, Michaela York.

 

DISCUSSION OF AGENDA ITEMS:

 

I.                   Camp Options [Annie Baker]

 

Ø      1st item we discussed was the pricing error in the Aerials handbook.

o       Level 5/6 actual price is $235

o       Level 5 actual price is $210

 

Ø      2nd item we discussed was summer camp.  Decided to attend the Cal Bears camp @ UC Berkeley.  Their program offers the girls the chance to stay in the dorms on the UC campus, and they are chaperoned by members of the UC Gymnastics Team.

o       The week of June 25th to the 29th

o       Price is $690 for those staying in the dorms and $575 for those commuting

o       It's for girls 6-18 years of age; open to anyone from Aerials who wants to go

o       Forms and more information can be obtained on the Cal Gymnastics site

o       There was some discussion about those attending year round schools and their ability to attend

o       Gym will be open that week

 

Patti Bales volunteered to coordinated UCB camp signups.

 

Region 1 clinic/camp in Stockton hosted by Champion Gym was also discussed.  More people were interested in attending this one than the one at UC Berkeley.

    • Dates are June 16th & 17th
    • $100 for Optionals both days; $80 for compulsory both days
    • Level 5 and above
    • May 26th is the deadline to respond as a gym
    • Annie would like to collect checks on May 20th
    • Recommended hotel: Best Western @ $74 per night
    • Some girls would miss school on Friday, 6/16

 

Annie asked Rene Fitch to coordinate the Stockton camp signups.  Interested parents should contact Rene.

 

 

II.                Hiring Firm to File Nonprofit Status Application [Karen Sewell]

 

Karen Sewell reported that Foundation Group has raised their price since her initial contact with them in March.  Formerly $750 for filing a 501(c)(3), it's now $950.  Total cost to file federal & state forms:  $2005 (less $100 if we draft our own bylaws).

 

Effective 7/1/06, federal filing fees are increasing $200 & state filing fees are increasing $50.   Foundation Group would need everything from us by 5/15 to make filings before fee increases.

 

Karen volunteered to draft by-laws and to loan the club the money for the filings since the club's funds are approximately $700 short of what will be needed.  All future funds raised by the club will be applied to paying Karen back first.

 

Matter was put to a vote and was approved with 20 affirmative votes, including 4 received via email from members who could not attend the meeting.  Karen will facilitate the application process and work with Foundation Group with the goal of making the 5/15 date.

III.             Formation of Subcommittee to Decide on Structure of Parents' 

                  Club

 

Patty Dawson, Patti Bales, Cathy Kerner & Karen Sewell expressed interest in being on subcommittee.  Much time was spent on sharing views and asking questions re the purpose and organization of the club.

 

Filing of nonprofit status application cannot be done until structure is decided on and documented.  Since time is of the essence, decided that subcommittee meeting would be held next week and anyone interested in contributing to the structuring of the club can attend.  [Meeting will be held Wednesday, May 3 @ 6:30 in the snack area at the gym.]

 

 

IV.              Call for Volunteer(s) to Coordinate Ordering & Purchase of Competiton Leos

 

Patti Bales & Cathy Kerner volunteered to coordinate this.  They will be gathering order information soon so that we can be sure to have the leos in time for the fall compulsory meet season.

 

V.                 Other Items

 

·        Aerials will perform at Fiesta Days again this year.  More info will be forthcoming from Annie.

·        Cathy Kerner & Patti Bales will run a mini concession stand for the next Levels 1-3 Meet.  Profits will go to the club.

·        Aerials' Middle Earth exhibition was cancelled due to the cold [this was actually decided on Saturday morning at 7:00, not at the meeting, but this is a good place to document it].  All gymnasts who had signed up to participate were called and informed of the cancellation by 9:00 Saturday morning.

·        An updated roster with the new Level 4 members included will be distributed.
