Minutes from July 10, 2006

In attendance: Eugene McCall, John Fukushima, Karen Sewell, Cathy Kerner,

Suzanne Murphy, Sandy & David Fitz, Michael York, Rene’ Fitch, Kelly McConie, Vince Durant, Harold Sandahl (Vendor), MJ Clay, Kelly Fine, Carl Carlson,

Alice Troxell, Sue Laren, Wendy Purvis

 

 

Introductions: Name, child’s name and level

 

Lot Sale – Eugene McCall brought Harold Sandahl to discuss the proposed Lot Sale.

·        Mr. Sandahl will donate $200 to the AGPA.

·        He sells furniture, appliances, nick-knacks, etc.

·        We can bring our own items to sell. They need to be tagged and priced and he would like us to have 2 people to keep track of our sales, but we then keep the profit from our items.

·        Mr. Sandahl provides the signs and all the advertisement.

·        What doesn’t sell goes to various charities such as, Opportunity House, Mission Solano, etc.

·        Discussion about July 22, but Vince & Tanya will be gone so Aug. 17-20 was proposed.

·        Set up occurs on Thursday, sale is Friday & Saturday, Mr. Sandahl cleans up on Sunday.

·        Discussed possibility of car wash during lot sale.

·        Discussion about selling food as well, but Mr. Sandahl suggested just soda & water.

·        Tanya has requested that Aerials receive half of the proceeds of this fundraiser.

 

 

Report on Leotards – Cathy Kerner (President)

·        They will be passed out on Tuesday, July 18th.

·        Sweat suits are on back order and will take a little longer.

 

 

 

Status of Non-Profit Account – Karen Sewell (Treasurer)

·        Still waiting for the receipt from the Foundation Group

 

3-Year Projected Budget – Karen Sewell

·        Karen proposed that we define some goals, and then plan fundraisers to meet those goals.

·        Ways to do this: Subcommittee? Invite ideas from parents?

·        Karen would like any fundraising ideas to be sent to her and she will bring them up at the next meeting.

·        It was asked if the General Fund can be used to buy equipment. Karen prefers not to get into that gray area.

·        Cathy Kerner commented that we need to keep in mind the good of the group as a whole when agreeing on what funds are used for.

 

 

Mini-meet revenues – Wendy Purvis (Secretary)

·        Total profit from the meet was $96.25.

·        Coffee was requested from participants and we will see about getting coffee pots.

·        Ice was a big expense for this event so we discussed the possibility of not using the big ice chest.

 

Upcoming Fundraisers

·        See’s – See Action Items

·        Banner Advertisement – Cathy Kerner priced banners from Kinko’s @ $120.

·        E-script – Karen Sewell sent around the list of participating merchants. Some expressed hesitancy to register their debit cards online. E-script takes 15% off the top. We will revisit this when we have our non-profit status.

·        Other ideas we will re-visit: Cookie Dough, Baja Fresh, Chevy’s, T-shirts at meets. Jamba Juice

 

 

Open Items – Cathy Kerner

·        Tanya has tentative 2006-2007 schedule

·        Tanya would like to take Team Pictures in October. Will AGPA take on that responsibility?

·        Possible Mini-meet in September (same month as the Home Meet)

·        Conflict with proposed Lot Sale and a field trip. Not everyone needs to be at the Lot Sale.

 

 

 

 

Additional Items

·        Suzanne Murphy proposed a Mary Kay fundraiser. She has a friend who would come and give facials, sell cosmetics. August 11th possible date.

·        From discussion at a previous meeting, Vince reported that all photographers on the floor must have a USAG card.

·        Points will not be awarded until the AGPA is not in debt. We currently have a balance of approximately $1180 and we owe about $1800 for our non-profit status. Karen will provide for us an official statement of our financial status, to be sent along with or soon after these minutes.

·        AGPA is now responsible for the ordering of all competition leotards.

·        Vince has a very tentative figure of 150 attending September home meet.

 

 

 

Action Items

·        Vince Durant will speak with Tanya to confirm proposed date for Lot Sale.

·        Suzanne Murphy will get See’s Candy info to Erlyn Fukushima.

·        Cathy Kerner will research a 3X5 paper banner advertising sign for $50.

·        Vince Durant will check with Tanya about possible September mini-meet.

·        Suzanne Murphy will get together with Vince and Tanya about the details of the Mary Kay Sale.

 

 

Eugene McCall motioned that we approve the minutes from the last meeting, 2nd by Cathy Kerner.
