Aerials Parents Club Special Meeting
August 6th, 2008
Parents in Attendance: Rene Fitch, Marcia Bullet, Melissa Black, Kelly Thomas, Marlin White, Chess Delouse, Eugene McCall, Suzanne Murphy, Julie Collette, Michael York, Mrs. York, Cathy Bull, Jen Pero, Annie Baker.
Meeting started at 6:40pm
This special meeting was brought together to discuss the income of the September 9th meeting, credit amounts to split between workers and credit for positions during the meet.
Currently points in the general fund are $1. That could change depending on the needs of the parents club. When working at the meet, you will get credits. Depending on the amount made at the meet – will determine the amount of credits for points.
3 options were brought to the table by the President Rene Fitch.
Option 1 – Concession money goes to general fund, the rest of the money is split by credits. 100% minus concessions would go to workers.
Option 2 – 70/30 split. 70% goes to workers, 30% goes to general fund.
Option 3 – 50/50 split. 50% to workers, 50% to general fund.
A vote was held for which option would be used. Option 2 had 5 votes, option 3 had 7 votes.
Option 3 – 50/50 split will be used at the next meet.
A breakdown of credits for meet positions was handed out. It was decided that 1 credit per person, per hour worked, would be earned. Meet coordinator would earn 10 points, meet treasurer would earn 5 points, Coordinators in general would earn 5 points. The person working the coaches/judges food rooms would earn 10 points.
There will be no credits for the following positions because they are mostly done by the kids/team members. The people doing these positions will earn 1 meal deal ticket for the day. The following positions are: March Out, Award Handout, Floor music/timers, beam timers, bar timers, vault timers, and raffle ticket sellers.
It was decided that older team members could work the meet as long as they were not handling money. Our main goal is to have a positive, smooth running meet which in turn will bring in a good amount of money and gymnastic teams that would like to attend again next year.
A program coordinator will be added this year and we will be selling spots on the program. It is possible that we will raise the meet admission price $1 for children and adults. The adult dollar will also cover the program fee. The children price will cover a coloring book/pages and crayons.
At this meeting it was also decided that we would no longer be selling the tri tip sandwiches. Hamburgers, Hot dogs, pizza and Nachos would be the main courses at the meet.
Melissa Black is going to look into a popcorn machine. Popcorn can be a big seller at the meet.
Suzanne Murphy is going to come up with a letter for donations to Aerials and a thank you letter for people that have donated to Aerials.
Kelli Thomas is going to work with Suzanne Murphy to start calling for donations/sponsors for the meet and the fund in general. Marcia Buslett has contacts she will call. Chess DeSouza will help too. If you are interested in helping get large donations/sponsors from companies or donations for gift baskets, please email me and we can get information for you.
Annie will be contacting Coke in regards to Coke donations.
If you know of someone that will donate items for the meet, or want to donate items yourself – it is now tax deductible because we are a non-profit.
We will be having our regular Parents Club meeting August 13th at 6:30pm.
At that meeting we will be discussing:
The approval of July Minutes (Reappoval)
A budget for the general fund and possibly getting a committee together for it.
Prices for spots for sale in the Meet program. (Business’, grandparents)
The September meet and the possibility of
it going a 2nd day.
Sept 8th.
The mini-meet on Sept. 8th.
Signing up for Coordinator positions and getting meet meeting going.
A consignment leotard sale – Parents club hosting.
Other ideas to bring money into the Parents club (Baja fresh, car wash)
