AGPA meeting August 2008

August 14 2008

Meeting was called to order at 6:35 p.m.

Parents in attendance: Marcia Buslett, Kathy Bull, Heather Markovich, Melissa Black, Jessica Villa, Cathy Kerner, Shelly Rydjord, Rene Fitch, Lisa Lutz, and Chess DeSouza.

Thank you all the parents in attendance we had a good turn out . Next month bring a friend from the team .

Approval of the July Minutes: René Made the motion to approve the July minutes, Kathy Bull seconded the motion. Membership in attendance agreed with the approval.

Treasur’s report: Currrently our sponsorship fund stands at $ 475.00, The Meet fund stands at $3575.65, and the General fund stands at $3145.50 .For a total of $7196.15, in the account at this time.

American Pride meet: this meet was discussed with Annie and the membership , As of now the roster is low and it is a possibility that the meet might be canceled, if that were to happen then we will me set for another meet, The session schedule will be posted for parents to sign up , In case the meet is held. Annie suggested that we call the other gyms in our zone and promote the meet, this can either be done by e-mail or phone calls Marcia will look up the gyms in our zone and call along with the other parents who volunteered. We will need 75 gymnasts to participate and it will be a Leo meet. If only 75 gymnasts register we will only have one session.

Contacting newspapers: it was decided that we would like for Heather Markovich to contact not only the Vacaville reporter but also The Daily Republic and any other local paper.

Sponsorships: Currently this has brought in only $475.00, we need more sponsors, Dr. Schindler sponsored for $175.00 and First Northern Bank Sponsored for $300.00. Brenden Theaters sent 6 movie tickets in lew of sponsorship. These movie tickets will be used in the upcoming Sees’ fundraiser as an incentive to the gymnasts. Kathy Bull resigned as Sponsorship coordinator and Melissa Black took the position.

San Diego traveling meet: This still does not have a coordinator. Annie suggested that we stay at the Town and Country Inn since it was walking distance to the meet. The rate was said to be $144.00 a night. She also gracefully declined a rental car for this meet. Annie also informed us that she and Tanya will be attending all optional meets.

Seeking and accountant: Kathy Bull is still looking into it at this time.

Splitting of Admin funds with Aerials Gym: We were unable to make any decisions regarding this matter at this time. We will revisit this subject at our next meeting.

Open Items:

Discussion was made regarding the third floor at the entrance of the gym and how many man hours it would take to tear it down for the meets this fall; Annie stated that it was an all day thing. We will be able to leave it down the week between think pink and Zones.

Discussion was made about the improvement to the lobby area of the gym and how it looked to parents it was suggested that Aerials post a thank you to all of the donators so that parent will shop in these stores as a thank you  for the Gym and end some of the confusion being stirred up.

Discussion was made regarding things that the gym may need so that our monies can be allocated properly.

We will ask Annie about doing a penny drive as a fundraiser.

We are looking into possibly working with cheer to help with man power for some of our home meets. Raffles was one area we all agreed that could use man power.

 

 

It was brought to our attention that there are points that are not going to be used and we needed to come up with a policy on forfeiting of point upon a gymnasts leaving the Team, it was suggested that an e-mail be sent out to the parents regarding this matter an let them know that the points would be forfeited and that they had a 0 points balance.

Melissa Black will be contacting coke and trying to get extra so that we have enough for zones as well.

There will be a great event happening on September 24, Gymnastics Superstars will be coming to Arco Arena and we will love to go as a team! This event will include our Decorated Olympic Team from the USA, including Shawn Johnson, and Paul Hamm! Please contact Chess DeSouza for more information. She will be printing up a flyer soon.

Chess also stated that she still has about 50 Solano saving booklets that we can do another fundraiser with. The date is still to be determined.
