AGPA meeting September 2008

 

Meeting was called to order at 6:35p.m.

Parents in attendance: Marcia Buslett, Melissa Black, Kathy Bull, Rene Fitch, Annie Baker, Cathy Kerner, Dolly Roco, Karen Trance, Jessica Villa, and Chess Desouza.

Thank you to all the parents that came tonight, we really appreciate your attendance!

Approval of August minutes: Rene made a motion to approve the meeting minutes from August 14th 2008, Melissa Black second the motion.

Treasurer’s Report: The general fund currently holds $3561.22; Meet fund currently holds $1495. With 1110 in credits that need to be paid out, and about $492 that still needs to be paid due to the meet reorganization for the compulsory season. The sponsorship fund currently holds $475.

Zones: Aerials holding Zones was discussed tonight. Annie let the parents know that we would have to host this meet with Tanya as a meet director (given she is the only qualified meet director in the gym). Tanya will earn points just like every other parent on the team for her participation. All competition fees and expenses will be through the Aerial’s Parents association. We are still waiting on the exact figures before we commit. All the medals must be purchased from Nor Cal, but if not used can be returned for a refund. We are looking for the cost of the judges and other expenses. We will make the majority of the profit from Concession sales and Admisions.25% will be paid after all expenses paid out to Aerial’s Gym for rental of their facility. There is a possibility of hosting 2 sessions, one for level four and the other for level 5 and 6. The registration fee may have a cap on it of $65.00, but we do not have to supply a “goodie” bag for the gymnasts; instead we can send an order form to all of the gymnasts to do a pre-order of the t-shirts. Chess is willing to create and make these t-shirts. Grandstands and other equipment rental were also discussed and give the cost it was thought that this was not a good Idea for this meet. An update will be sent out.

Sponsorships: Melissa Black has been looking into this and says that plaques should cost around $14.90 a piece. Chess Desouza says she is ready to go with the white 3x5 banner, and Marcia Buslett is working on the thank you letter to be sent with the plaques.

San Diego Meet:  Coaches accommodations will run about $1800.00 for both Tanya and Annie to attend, this includes Airfare, Hotel accommodations for 3 nights, 1 car rental (given Annie forfeited hers Thank you Annie), and coaches per Diem. Rene Fitch will look into the exact numbers for these expenses as she has taken on the coordinator position, Thank you Rene!

Open Items:

Discussion was made regarding the old folders that used to sit on the table, currently all flyers are being distributed to each child cubby and then they are supposed to be taken home for parents to read. Marcia brought up that we don’t really know if those flyers are making it home. Annie will ask about the possibility of bringing the folders back for the parents to have a way to intercept the flyers be it form Aerial’s or the Aerial’s Gymnastics’ parents Association.

 Kathy Bull has left messages for a few Non-profit attorneys with only one call back, from an attorney in Napa that charges $200 per hour. We are looking in to other options although this one has not been ruled out just yet.

Given that we will only potentially be holding one meet this season, fundraising ideas were discussed to bring in the monies to do all that we normally do. A few of the Ideas area dinner night at a restaurant such as Chili’s, Applebee’s, Baja fresh, Mary’s pizza shack, Fresh Choice, and the possibility of hosting these fundraisers with cheer to make it more profitable. Another fundraiser discussed was a penny drive. Annie will be e-mailed with these ideas for her input. Cathy Kerner is going to call Chili’s.

Being a non-profit Marcia raised the question of giving back; she thought it a good idea that we as a parents club and the girls as a team give back to those less fortunate possibly by holding a food drive around Thanksgiving, or a toy drive around Christmas. Chess also suggested that we put on a small show for the elderly around Christmas at one to the nursing homes in the area this will be further discussed at another meeting.
